The Critical Role of Backupify in Your BC/DR Planning

by | Jan 11, 2019

When it comes to backing up your critical data, your SaaS applications cannot be an afterthought. With 3 out of 4 companies saying they expect to run almost entirely on SaaS by 2020, it’s vital that the data within these applications is protected against the risk of disaster (just as your on-site data should be). That is the role of Backupify.

In this post, we do a deep dive into the role of Backupify in your business continuity planning, how it protects your SaaS data, and why it’s essential.

What is Backupify? And, what exactly is the role of Backupify within BC/DR Planning?

Backupify is a cloud-to-cloud SaaS backup solution from Datto. The platform automatically backs up data within select SaaS applications, replicating it from the SaaS provider’s cloud to Datto’s own cloud.

Beyond simply backing up the data within your cloud apps, Backupify also features robust search capabilities that make it easy to locate lost files in a matter of seconds.

Which SaaS platforms are backed up?

Currently, Backupify provides SaaS backup for three SaaS environments:

·      G Suite

·      Office 365

·      Salesforce

In the case of G Suite and Office 365, Backupify backs up all account data across those platform’s product suites, including email, calendar, contacts and files uploaded to the cloud. Backupify can also be used to backup all data (including metadata) within Salesforce, the cloud-based CRM platform.

We’ll return to the specific data backed up in each application in a minute.

Why do we need it?

1 in 3 companies say they have experienced data loss within their SaaS applications, due to a variety of reasons. This is a serious problem, especially at a time when these applications are becoming critical components of many companies’ operations. When data goes missing, it disrupts those operations and can lead to business-threatening downtime.

Even when it’s just a single file that goes missing, it costs companies time, money and IT resources to respond to those events. And if the file can’t be retrieved, it hurts productivity too.

SaaS backup ensures there’s always a backup that you can fall back on, so there’s minimal interruption to your business.

Is SaaS data loss really that common?

Yes, it literally happens every day – at businesses of all sizes around the globe.

In a recent post on SaaS backup, we highlighted some of the most common causes of data loss within cloud applications. And spoiler alert: the SaaS providers are rarely to blame.

Companies like Google, Microsoft and Salesforce go to great lengths to secure your data in the cloud. And in the unlikely event that their infrastructure fails, you can bet they have numerous backups to fall back on. But if the data loss happens on the user end, that’s a different story.

What causes SaaS data loss?

Human error is almost always the culprit when data is lost within SaaS applications. A report by Aberdeen Group said the following scenarios were the most common reason for SaaS data loss, based on survey data from organizations:

·      Files, emails and/or database data are accidentally deleted by users

·      Data is overwritten, typically when an integration is added or a migration is misconfigured

·      Malware and/or hackers delete the data or encrypt it with ransomware

·      Data is lost when the application is closed before data is saved

·      Rogue employees delete data maliciously (Yes, this really happens. 7% of respondents said this occurred at their organizations.)

How can Backupify prevent data loss?

The human errors that cause data loss can be minimized with employee training and stronger policies for using your SaaS apps. But even then, mistakes will still happen.

Backupify backs up your data in those apps, so that you can recover it quickly when those events occur. And since the backups are automatic, performed up to 3 times a day, you can have peace of mind knowing that your critical data is being protected around the cloud.

So, for example, when somebody accidentally overwrites a month’s worth of sales data in Salesforce, you can restore it with a few clicks.

What are the benefits?

We’ll dig into more of Backupify’s features below. But let’s focus briefly on the core benefits to your organization:

·      Minimized business disruption and downtime: Since lost data can be quickly identified within Backupify and restored in seconds, it greatly reduces the disruption that would ordinarily result when no backup is available.

·      Reduced load on IT/Help Desk resources: Recovering lost SaaS data, when no SaaS backup is in place, is taxing on a company’s IT teams. It pulls them away from other pressing tasks and takes time to troubleshoot, even when the end result is that the data is gone for good. Backupify’s quick recovery process means Help Desk staff can rapidly resolve issues, freeing up IT time and resources.

·      Cost savings: A loss of data itself can be extremely costly, as can a failed recovery attempt. By enabling a fast recovery, Backupify eliminates costly downtime events and IT response, thus bolstering the company’s bottom line.

·      Productivity increase: When workers lose files, it stops them from doing their jobs. A rapid data recovery ensures they can keep working with minimal interruption, thus maintaining their productivity levels. This is literally the definition of business continuity!

·      Regulatory compliance: Businesses today must adhere to strict, federally-mandated protocols for how they handle sensitive data. This is especially true in industries like healthcare and finance. And as more of these companies move to SaaS applications, they need to be sure they’re staying in compliance. Backupify’s cloud-to-cloud backup ensures that data is properly secured according to those regulatory guidelines.

How does it secure our SaaS?

As mentioned above, Backupify is currently available for three commonly used cloud environments: Office 365, G Suite and Salesforce. Let’s dig into the specific features of each deployment:

Office 365

·      Automatic backups, up to 3 times a day, of all data within Office 365 apps, including Microsoft Exchange, One Drive, SharePoint, Calendar and Contacts

·      Backupify’s dashboard makes it easy to manage backups, view restores, and view an activity feed

·      Recovery can include individual files or an entire application’s data

·      A robust search feature allows for quickly finding files, folders, emails and contacts

·      Files can be restored directly to the end-user’s account or downloaded to the administrator’s desktop

·      In OneDrive, Backupify captures multiple snapshots of document history, allowing you to restore multiple file versions

·      Data is encrypted both at rest and in transit, ensuring that sensitive info is not intercepted as it travels to/from the cloud

·      Backupify for O365 also offers data controls and monitoring tools, including audit logs, uptime and availability SLAs. Export capabilities also enable businesses to export data as needed.

G Suite

·      Backupify for G Suite automatically backs up data within Google Mail, Drive, Calendar, Contacts, and Team Drives up to 3 times a day

·      Multiple search filters provide quick, easy access to backed up files, folders, messages and other data across G Suite

·      Users and/or administrators can restore individual files or all data from their account

·      Previous versions of documents in Google Drive can be quickly identified and restored

·      Folders and files can be restored directly to user accounts or administrators can download them to their own devices

·      Built-in data encryption, plus regular vulnerability management and testing, ensures data is properly secured in the cloud

·      Customizable retention period gives you control over how long backed up data is retained

·      Includes data controls and monitoring, audit logs, uptime and availability SLAs, and export capabilities

Salesforce

·      Automatic daily backup of all Salesforce data, including objects, custom objects, files, attachments, metadata and even Chatter messages

·      Backups are automatic but can be initiated manually at any time (ideal for when you’re about to upload or migrate a significant amount of data or when integrating a third-party application)

·      Robust search capabilities make it easy to find highly specific data/objects with Salesforce, entire backups and production environments

·      Backupify lets you restore all previous versions of a file or record, so you can compare changes to retrieve the version you need (or reconstruct as needed)

·      Revert to previous objects with one click or create new ones

·      All data is encrypted, end to end: in transit and at rest in the Datto Cloud

·      Includes data controls and monitoring, audit logs, uptime and availability SLAs, and export capabilities

Is it secure?

Yes – and good on you for asking, because whenever you’re looking at any kind of cloud backup, it’s important to look into the security of that cloud.

As we mentioned above, all data in Backupify is encrypted. But also, Datto has numerous security controls in place. The service is SOC 2 Type II audited, which certifies that Datto adheres to rigorous security protocols for storing customer data in the cloud.

The SaaS backup platform also keeps you in compliance with HIPAA and Safe Harbor.
